Terms & Conditions

Prior to arriving at Uitvlugt Resort, all guests are required to read, understand, and accept these Terms & Conditions, the General House Rules, the Indemnity Form, and the General Warning. By making a reservation, submitting payment, checking in, or entering the property, guests acknowledge and agree to be bound by these documents.

  1. Rates: All rates are quoted in South African Rand (ZAR) and are charged per accommodation unit, per night booked, unless otherwise stated.

Uitvlugt Resort reserves the right to amend rates without prior notice; however, confirmed reservations will be honoured at the rates applicable at the time of booking.

  1. Reservation Payments: A deposit equal to 50% of the Total Amount Due, as reflected on the invoice, is payable within 24 hours of the invoice being issued in order to secure the reservation.

The remaining balance must be paid in full no later than fourteen (14) days prior to the scheduled arrival date.

Uitvlugt Resort reserves the right to cancel any reservation for which payment has not been received within the prescribed timeframes. Guests will not be permitted to check in or access the resort if any outstanding amount remains unpaid.

  1. Occupancy: Once a guest has checked in, occupied the accommodation, or participated in any activity offered by Uitvlugt Resort, no refunds, credits, or reductions in booking fees shall be granted under any circumstances.

Late arrivals, early departures, unused services, and no-shows shall not qualify for any refund and shall result in the forfeiture of all amounts paid.

  1. Booking Amendments: Requests to amend a confirmed reservation, including changes to arrival or departure dates, must be submitted in writing to admin@uitvlugtresort.co.za at least four (4) weeks prior to the scheduled arrival date.

All amendment requests are subject to availability and approval by Uitvlugt Resort Management, which shall be granted at its sole discretion.

Approval or rejection of any amendment request will be communicated in writing via email. All decisions made by Management are final and non-negotiable.

Any approved amendment may be subject to revised rates, additional charges, or administrative fees.

  1. Booking Cancellations: All cancellation requests must be submitted in writing to admin@uitvlugtresort.co.zaand must clearly state the reason for cancellation.

Cancellation requests will be processed in accordance with the Cancellation Policy set out below. Confirmation of the cancellation and any applicable refund, if any, will be provided in writing via email.

  1. Cancellation Policy: Guests may cancel a confirmed booking at any time by providing written notice, clearly stating the reason for cancellation and accompanied by satisfactory supporting documentation, to Uitvlugt Resort at admin@uitvlugtresort.co.za.

In terms of Section 17 of the Consumer Protection Act, 68 of 2008, Uitvlugt Resort reserves the right to charge a reasonable cancellation fee upon cancellation of a confirmed booking.

The cancellation fee will be determined with reference to, amongst other factors:

  • The nature of the reservation;
  • The length of notice provided prior to arrival;
  • The likelihood of obtaining an alternative booking for the reserved accommodation or facilities;
  • The costs, expenses, and losses already incurred by Uitvlugt Resort in respect of the booking; and
  • Any other relevant circumstances.

As a guideline, the following cancellation fees may apply:

  • More than 28 days prior to arrival: up to 25% of the total booking value.
  • 21 to 28 days prior to arrival: up to 50% of the total booking value.
  • 14 to 20 days prior to arrival: up to 75% of the total booking value.
  • Less than 14 days prior to arrival, no-show, early departure, or failure to utilise the reserved accommodation or facilities: up to 100% of the total booking value.

Any cancellation fee charged shall not exceed the reasonable losses suffered by Uitvlugt Resort because of the cancellation and shall be determined in accordance with the Consumer Protection Act.

No cancellation fee will be charged where the cancellation arises due to the death or hospitalisation of the person for whom, or for whose benefit, the booking was made, provided that satisfactory supporting documentation is submitted.

Any refund due after deduction of the applicable cancellation fee will be processed within a reasonable period following confirmation of the cancellation.

  1. Access: Access to the property is restricted to authorised guests, visitors, contractors, and persons who have obtained prior permission from the owners or Management.

No person may enter or remain on the property without the express consent of Uitvlugt Resort.

Unauthorised entry, trespassing, or failure to comply with instructions issued by Management may result in removal from the premises, prosecution, and the institution of legal proceedings where appropriate.

  1. Use of Facilities: All facilities, amenities, equipment, recreational areas, and activities at Uitvlugt Resort are used entirely at the guest’s own risk.

Guests are responsible for ensuring that they are physically capable of participating in any activity and must always exercise reasonable care.

Should a guest feel unsafe, uncomfortable, unwell, or uncertain before or during participation in any activity or use of any facility, they must immediately discontinue participation and notify Management or a staff member.

Uitvlugt Resort places the highest priority on the safety and wellbeing of its guests, staff, and animals and expects all persons on the property to act responsibly and with due regard for their own safety and that of others.

  1. Conditions: All reservations are made on the express condition that Uitvlugt Resort and its staff and agents shall not be responsible for and shall be exempt from all liability in respect of any loss, damages or accident, delays or inconvenience to any person, or their luggage or other property.
  2. Limitation of Liability: To the fullest extent permitted by law, Uitvlugt Resort, its owners, directors, management, employees, contractors, representatives, and agents shall not be liable for any loss, theft, damage, injury, illness, accident, delay, inconvenience, or death suffered by any guest, visitor, or third party while on the property or participating in any activity.

Guests acknowledge that they enter the property and make use of the facilities entirely at their own risk. Uitvlugt Resort shall not be responsible for any loss of or damage to personal belongings, vehicles, equipment, or other property, regardless of the cause.

  1. Code of Conduct: Guests are required to conduct themselves in a respectful, responsible, and lawful manner always and to comply with all resort rules, policies, notices, and reasonable instructions issued by Management.

Any behaviour that, in the opinion of Management, causes disturbance, nuisance, danger, damage, harassment, or inconvenience to other guests, staff members, animals, or property may result in immediate removal from the premises without refund and, where applicable, legal action.

Guests shall be liable for any loss or damage caused by themselves, members of their party, or their visitors.

GENERAL HOUSE RULES

To ensure the safety, comfort, and enjoyment of all guests, the following House Rules apply to all persons entering Uitvlugt Resort.

  1. Check-In and Check-Out: No early arrivals or late departures will be permitted unless prior written approval has been obtained from management.

Guests must adhere strictly to the check-in and check-out times stated on their Booking Confirmation.

All guests are required to report to Reception immediately upon arrival and must read and sign the required Indemnity Form before accessing the resort facilities.

Campsites are not reserved by number and will be allocated upon arrival.

  1. Activities and Facilities: Guests are welcome to make use of the activities and facilities offered by Uitvlugt Resort at no additional charge, unless otherwise indicated.

All activity-specific rules and instructions must be observed at all times.

Should a guest feel unsafe, uncomfortable, or uncertain before or during participation in any activity or while using any facility, participation should cease immediately, and management should be notified.

  1. Swimming Pool and Water Safety: Swimming is permitted only in the designated swimming pool area.

Swimming in dams, rivers, reservoirs, or any other water source on the property is strictly prohibited.

No lifeguard is on duty.

Children off all ages must always be supervised by a responsible adult while in or near the swimming pool area.

For health and hygiene reasons, urinating in the swimming pool is strictly prohibited.

  1. Pets: Uitvlugt Resort is a proclaimed Nature and Wildlife Conservancy. For the protection of wildlife, domestic animals, and other guests, pets are not permitted on the property unless prior written approval has been obtained from management.
  2. Wildlife Protection: Guests may not feed, approach, disturb, harass, capture, injure, or harm any domestic or wild animal, bird, reptile, or other wildlife.

Wild animals are unpredictable and potentially dangerous.

As a Nature and Wildlife Conservancy, Uitvlugt Resort maintains a zero-tolerance approach to wildlife offences. Any person found harming wildlife may be removed from the property and reported to the relevant authorities for prosecution.

  1. Smoking: All chalets, buildings, and indoor facilities are strictly non-smoking.

Smoking is permitted only in designated smoking areas.

Please enquire at Reception if you are unsure where smoking is permitted.

  1. Fires and Braai Facilities: Open fires are permitted only in the braai/barbecue facilities provided.

No fires may be lit outside the perimeter of the accommodation unit allocated to the guest.

The provided braai/barbecue facilities may also be used as fire pits where appropriate.

Private fire pits, bomas, or open fires are not permitted.

All fires must be properly extinguished immediately after use.

  1. Fire Prevention: All cigarettes, embers, ashes, coals, and any other materials capable of causing a fire must be completely extinguished and disposed of safely.

Any person responsible for causing a wildfire may be held liable for all damages suffered and may be reported for criminal prosecution in accordance with applicable legislation.

  1. Firewood: Locally harvested firewood is available for purchase at the Reception and Curio Shop.

To prevent the spread of invasive pests, plant diseases, and harmful insect species, no firewood may be brought onto the property from external sources.

The collection, cutting, removal, or damage of any trees, wood, branches, plants, or other vegetation within the conservancy is strictly prohibited.

  1. Speed Limits: All drivers must comply with posted speed limits and road signs throughout the property.

Excessive speed poses a serious risk to guests, staff, and wildlife and will not be tolerated.

  1. Littering: Uitvlugt Resort maintains a strict no-littering policy.

All refuse must be disposed of in the bins provided.

Cigarette butts must be disposed of in designated ashtrays or refuse bins.

  1. Toilet Facilities: There are no toilet facilities along hiking, cycling, or game-viewing trails.

Relieving oneself in public areas or on trails is prohibited and may constitute an offence under applicable laws.

Guests are encouraged to make use of restroom facilities before commencing activities.

  1. Water Conservation: Water is a valuable and limited resource.

Water supplied within your rented unit, are safe for human consumption.

Guests are requested to use water responsibly and ensure that all taps are properly closed after use.

Tap water supplied within chalets and ablution facilities is safe for human consumption.

Water obtained from external sources, dams, rivers, taps, or irrigation systems may not be suitable for drinking and should not be consumed.

  1. Electricity Usage: Please switch off lights, heaters, fans, air-conditioning units, and electrical appliances when not in use.

The stove and oven may not be used as heating devices.

Only approved heating equipment provided by the resort may be used for space heating.

  1. Noise Control: Guests are requested to respect the peace and tranquillity of the bush environment.

Music, voices, and other noise should be kept at a level that cannot be heard outside the boundaries of the guest’s accommodation area.

Excessive noise, disruptive behaviour, loud music, shouting, or any conduct that disturbs other guests is prohibited.

Uitvlugt Resort operates a strict Quiet Environment Policy.

  1. Sewerage System: The resort utilises French drain sewerage systems.

Guests may not flush foreign objects, sanitary products, wipes, nappies, paper towels, food waste, or any other inappropriate materials down toilets.

Guests may be held liable for damages caused by misuse of the sewerage system.

  1. Damage to Property: Guests shall be held liable for any wilful, negligent, or reckless damage caused to property belonging to Uitvlugt Resort.

The cost of repair, replacement, cleaning, restoration, or any related expenses shall be recoverable from the responsible guest.

  1. Functions and Events: Uitvlugt Resort is a fully operational venue offering facilities for weddings, conferences, reunions, birthdays, school camps, church camps, corporate events, and other functions.

No external contractors, service providers, entertainers, caterers, decorators, photographers, or similar suppliers may provide services on the property without prior written approval from management.

Guests wishing to host events or functions are required to contact Reservations to discuss arrangements and obtain approval.

  1. Water Sources: The water supplied within your accommodation unit is regarded as safe for human consumption. However, guests should refrain from consuming the water if they detect any signs of contamination, discolouration, unusual odours, or other impurities.

While Uitvlugt Resort takes all reasonable measures to ensure the quality and safety of its water supply, the resort cannot prevent contamination arising from external sources, natural events, infrastructure failures, or circumstances beyond its reasonable control.

  1. Right of Admission Reserved: Uitvlugt Resort reserves the right to refuse admission, deny access, or require any guest, visitor, contractor, or other person to leave the property immediately if such person:
  • Fails to comply with these House Rules, the Terms and Conditions, the Indemnity Form, or any lawful instruction issued by management or staff;
  • Engages in unlawful, abusive, threatening, violent, reckless, disruptive, or inappropriate conduct;
  • Causes a nuisance, disturbance, discomfort, or danger to other guests, staff members, wildlife, or property;
  • Is under the influence of alcohol, drugs, or any other substance to the extent that their behaviour poses a risk to themselves or others;
  • Damages, attempts to damage, or threatens to damage any property belonging to Uitvlugt Resort or any third party; or
  • Acts in any manner that, in the reasonable opinion of management, may negatively affect the safety, security, reputation, operation, or enjoyment of the resort by others.

Any person required to leave the property under this clause shall not be entitled to any refund, compensation, or reduction of fees, and Uitvlugt Resort reserves the right to recover any damages, losses, legal costs, or expenses incurred because of such person’s conduct.

Management reserves the right to contact law enforcement authorities and institute civil or criminal proceedings where appropriate.

  1. Acceptance of House Rules: By entering the property, making a reservation, checking in, participating in any activity, or making use of any facility at Uitvlugt Resort, all guests and visitors acknowledge that they have read, understood, and agree to comply with these House Rules, the Terms and Conditions, the Indemnity Form, and all reasonable instructions issued by management and staff.
  2. Development and Construction Activities: Uitvlugt Resort and adjacent properties may from time to time undergo development, maintenance, renovation, or construction activities.

While every reasonable effort will be made to minimise noise, dust, traffic, visual impacts, and other disturbances, Uitvlugt Resort cannot guarantee that such activities will not occur during your stay.

Guests acknowledge that development and construction activities may take place during normal working hours and agree that such activities shall not constitute grounds for cancellation, refunds, discounts, compensation, or any other claim against Uitvlugt Resort.

We sincerely apologise for any inconvenience that may be caused and appreciate your understanding while improvements are being undertaken.

General Warning

Uitvlugt Resort is situated within a natural bushveld environment and forms part of a Nature and Wildlife Conservancy. Guests are reminded that wild animals, reptiles, insects, and other natural hazards may be encountered throughout the property. All guests are required to exercise caution and always remain aware of their surroundings.

Spiders, Snakes and Scorpions: Spiders, snakes, scorpions, and other reptiles and insects form part of the natural ecosystem and may occasionally be encountered on the property.

Guests are strictly prohibited from attempting to catch, handle, provoke, injure, or kill any such creature.

These animals generally avoid human contact and will seldom pose a threat unless disturbed, threatened, or cornered. If encountered, maintain a safe distance and allow the animal to move away naturally.

Hippopotamuses, Crocodiles and Other Dangerous Wildlife: Dangerous wild animals may occur within or around the conservancy.

Guests are strongly advised not to walk, jog, cycle, or wander around the property after dark unless specifically authorised to do so by management.

Wild animals move freely within their natural habitat and may cause serious injury or death if encountered unexpectedly.

Always remain vigilant and follow all safety instructions issued by management.

Monkeys and Baboons: Monkeys and baboons are intelligent wild animals and may appear friendly or entertaining; however, they should never be fed or approached.

Feeding wildlife encourages aggressive behaviour, creates dependency on human food sources, and may ultimately result in injury to humans or harm to the animals themselves.

Before leaving your accommodation, ensure that all food, beverages, refuse, and personal belongings are securely stored.

Monkeys and baboons can open cupboards, refrigerators, containers, doors, and windows.

Guests are responsible for ensuring that accommodation units are properly secured when unattended.

Bats, Frogs and Insects: Artificial lighting attracts a variety of flying insects, which in turn attract their natural predators, including bats, frogs, geckos, and other wildlife.

To reduce the likelihood of insects or animals entering your accommodation, guests are advised to keep doors, windows, and insect screens closed, particularly during the evening and nighttime hours.

Malaria: The Dinokeng area is generally regarded as a malaria-free area.

However, guests should consult their medical practitioner regarding any health concerns or travel-related medical advice prior to visiting the resort.

Personal Responsibility: Guests are responsible for their own safety and the safety of any children or persons under their supervision.

The natural environment contains inherent risks that cannot be eliminated. By entering the property, guests acknowledge and accept these risks and agree to always exercise reasonable care.
